Dominion (Firefly Solar) — last updated June 16, 2026. This policy explains how the Dominion sales apps handle personal information, in accordance with Alberta's Personal Information Protection Act (PIPA).
The Dominion rep app (app.dominionx.ca) and leadership console (leadership.dominionx.ca) are internal tools operated by the Dominion sales team under Firefly Solar, based in Alberta, Canada, for managing door-to-door residential solar sales operations. Questions, requests, or concerns: contact Ben Vanderloo at benvanderloo99@gmail.com.
For sales team members: name, email, phone number, role/position, team assignment, start date, gender (for correct pronouns in team communications), shirt size (for merchandise), sales activity (doors knocked, pitches, appointments), weekly results and written reflections, goals and self-reported earnings entries, posts and reactions on the team Win Wall (including photos/videos you choose to upload), messages you exchange with the AI sales coach, sales-call recordings you choose to record for coaching, basic device status (whether the app is installed and notifications are enabled), and your phone's GPS location at the moment you tap "Drop Pin" in the field (see Location below).
If you record a sales conversation for coaching, you are responsible for complying with applicable consent obligations for that conversation.
To run the sales team: tracking performance, setting goals, team recognition and competitions, coaching (including AI-generated coaching feedback and team summaries), scheduling, sending team notifications, and onboarding. We do not sell personal information or use it for advertising.
The rep app has a "Drop Pin" button. When you tap it, the app reads your phone's GPS location at that moment and shares it with your team and your leaders so everyone can see who is working in the field. Specifically:
• It is captured only when you tap the button — never in the background, and never unless you choose to tap it.
• The location comes straight from your device and can't be edited or moved — this is for accountability.
• Your teammates can see your pins for the day, as well as the managers in your reporting line and the system administrator. This is for team accountability — everyone can see who has and hasn't checked in.
• Pins are shown for the current day only and are automatically deleted overnight.
• Dropping a pin is optional. If you don't want to share your location, don't tap the button (or turn off location permission for the app in your phone's settings).
Data is stored with Supabase in Canada (ca-central-1). Some processing happens with service providers located outside Canada (primarily the United States), under their respective data protection terms:
• Anthropic (AI coaching and summaries) • Deepgram (transcribing call recordings) • OneSignal (push notifications) • Resend (email delivery) • Netlify (app hosting)
By using the apps you acknowledge this cross-border processing, as required to be disclosed under PIPA.
Call recording audio is automatically deleted after 7 days (transcripts and coaching notes are kept). Field location pins are deleted automatically overnight (kept for the current day only). Other records are kept while you are an active team member and for a reasonable period afterward for business records. You can ask us to delete your information when you leave the team.
Under PIPA you may request access to your personal information, ask us to correct it, withdraw consent (which may limit your use of the apps), or complain to the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca). Contact us at the email above for any request; we'll respond within 45 days.
Access is restricted by role (reps see team-appropriate data; contact details are managed by leadership). Data is encrypted in transit and at rest. If a breach creates a real risk of significant harm, we will notify affected people and the Commissioner as PIPA requires.
